Immigration Services Specialist

GOAL OF THE POSITION 
 
To manage and oversee the entire process of legalizing the stay and employment of foreign nationals in Poland, ensuring compliance with current regulations, timely processing of applications, and accurate documentation. The specialist will serve as a key point of contact between the company, authorities, and foreign employees, supporting seamless immigration procedures and adherence to legal requirements.

Role expectations


·        Manage comprehensive immigration and work legalization processes for foreign employees.
·        Coordinate with authorities such as poviat and voivodeship offices, ensuring timely submission and response to official requests.
·        Monitor changes in immigration, labor, and social security legislation, translating legal updates into practical procedures.
·        Collect, verify, and prepare documentation required for immigration procedures, ensuring accuracy and completeness.
·        Maintain ongoing oversight of the legal status of foreign employees throughout their employment cycle, including monitoring deadlines and renewal requirements.
·        Handle correspondence with public institutions, including responding to official requests and managing administrative procedures.
·        Support HR and payroll systems related to foreign employees’ legal status and reporting.
·        Provide advice and support to foreign employees regarding their legal rights and obligations.
·        Prepare reports on immigration processes and updates for internal teams and clients.

What we're looking for

  • Practical knowledge of migration law, employment law, and social security regulations related to foreign workers in Poland.
  • Bachelor’s degree or higher in administration, public administration, or a related field
  • Experience in managing immigration and employment procedures for foreigners, min 2-3 years in a similar role.
  • Strong understanding of administrative procedures related to residence and work permits.
  • Proven ability to prepare and process official documentation and applications.
  • Excellent organizational skills and ability to manage multiple cases efficiently.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Strong communication skills and ability to liaise effectively with public institutions and foreign employees.
  • Fluency in Polish and English (spoken and written).
 
KNOWLEDGE OF LANGUAGES
 
·        Polish (fluent, mandatory)
·        English (B2/C1)

·        Strong knowledge of migration laws and administrative procedures in Poland.
·        Excellent organizational and time management skills, with a focus on accuracy and compliance.
·        Ability to work independently, proactively, and responsibly.

·        Excellent interpersonal and communication skills.
·        Openness to learning and adapting to new legal updates and processes.

·        Regular working hours - Monday to Friday in accordance with the work regulations
